Adding a Signature
Apple Mail

- Open the Signatures menu under “Preferences” in Apple Mail and make a new signature. You don’t need to make any changes to the signature at this time. Drag the signature on top of the email account you’d like it to be associated with.
- Quit Mail.
- Go to your Finder and in the top menu bar click Go > Go to Folder… and enter ~/Library/Mail/. Select the latest “V” folder. Then open “MailData” and “Signatures.”
- Make sure you change the Finder view to include the date field. Find the most recent file that ends with .mailsignature. Right click and Open With TextEdit.
- Delete all text starting from <body
- Open the TXT file provided with your signature. Copy everything and paste it into the .mailsignature file
- Save (you may be prompted to unlock the file)
- Lock the file by selecting the drop down arrow next to the file name and checking the lock button. You can now close the file.
- Open Mail and check your signature. Make sure it looks like the provided samples. Let Amantha know if you have any issues.
Outlook
Step 1: Add a New Placeholder Signature
In Outlook, go to File > Options > Mail and click on “Signatures“. Click “New” to create a new placeholder signature. Give the new signature a name you can remember.
Set to use your new Signature for both New Messages and Replies/Forwards.
Hit “OK” to save and “OK” again to close the Outlook Options window.

Step 2: Open Outlook’s Signature Folder on Your Computer
Here are the locations on the hard drive where Outlook places signature files, these locations are usually hidden so make sure you show hidden files and folders:
Windows 7 and Windows Vista
C:\Users\username\AppData\Roaming\Microsoft\Signatures
Windows XP
C:\Documents and Settings\username\Application Data\Microsoft\Signatures
Step 3: Find and Open the New Signature file
Within the Signature Folder, locate the file that you have created in Step 1. If you see multiple files with the same name, the file you want to open is the HTM file with the .htm extension. Open it with Notepad. You can right-click on the file and select Open with > Notepad.
Step 4: Replace Placeholder Text With Your HTML Code
If we have created a signature for you, you will have received an HTML file with a .html extension containing the HTML code for your signature. Open this file in Notepad to view the code.
Erase all content in the placeholder signature file and paste your HTML signature code. Hit File > Save.
Gmail
- Request an HTML version of your signature file (this will not work with the .txt version)
- Open the file in your web browser. It should open to a preview of the signature.
- Select all (CMD+A on Mac, CTRL+A on Windows) and copy (CMD+C / CTRL+C)
- Open Gmail in your browser and select settings (gear icon in top right corner). You may have to click “See all settings” from the Quick Settings menu
- On the “General” tab, navigate down the page to “Signatures” (near the bottom of the page) and create a new signature. Paste your copied signature into the text edit box.
- If you want, you can set the defaults for this signature at this time.
- Scroll to the bottom of the page and save.
Setting a Signature as Default
Apple Mail
In Apple Mail, select Preferences from the top menu
Navigate to the Signatures menu and select the email account you want to set a default signature on. At the bottom of the window, click the dropdown next to “Choose Signature” and select the signature you want to be added to your emails as the default.
Gmail
In the top right corner, click the gear icon, then “See all settings.”
Under General Settings, scroll down until you get to the Signatures section (near the bottom).
From the “email address” drop-down menu under signature defaults, select the email address you want to set the defaults for.
Set the default signatures for “New Emails” and “On Reply” by using the drop-down menus. Check the box if you wish to have your signature before the quoted text in replies
Scroll to the bottom of the page and Save Changes
Changing Your Signature In Email
Apple Mail
You can change between any signature in your account when sending an email.
With the email message composer window open, click the Signature drop-down menu next to the From email and select the signature you wish to use. This will update the signature shown in your email body.
