Let’s look at creating assignments in Webvantage. So we’re gonna want to start on the job we want to create assignments for. So the quick way to do this is to right/secondary click on the white space in the job jacket, and you’ll get this menu. So we’re going to pick new assignment.
And this window will open up. So this is your assignment workflow. So it will auto-populate these features based on the job that you are in, you can change them if you need to, but it’s easier to start within the job. So we’re looking at today, a non-routed assignment. So this is just a one-off assignment.
You can change the priority if you need to for highest down to lowest, and then we’ll set a start date. For example, we know this task is going to start tomorrow and it is due in one week. If we want to set a due time, that is optional. Hours allowed is the total number of hours that can be spent on this project.
The subject is auto-populated based on the job’s information, but you can change that to whatever you need it to be. You can add details in here as you need them, and you can also attach documents. You can either drag and drop or use the select files menu.
Once we have all that information, we can add our assignees. So let’s just assign this to myself just as a sample or if anyone else needs to be notified, you can do that here as well.
So let’s go ahead and save this. The first button is save and send. This will send an email alert to the assignees or we can just save it with the second button. They won’t get an email, but it will still show up as an assignment on their dashboard.
So now it’s in the assignments workflow on your job jacket menu. So we can open this and we’ll get a little more detail about our assignment. So here we can see total hours allowed, who it is assigned to, and this is where we can add comments on this task, as well as if we wanted to go ahead and track time.
You can also use a checklist if want to track items for the task.
This menu is for the hours, if you need to change or shift hours on a task. When assigning you can also select ‘show availability’ to ensure your assignee is available to work on the task.
When you add new assignees, they’ll automatically be assigned the default number of hours for the task, but you can change that and add a custom amount of hours per assignee.
And then you can send this and save it as you need to. And then once the task is finished, you can mark it complete.
